Classify the business interruption

Distinguish unavailable access, failed integrations, incorrect outputs and ordinary configuration questions. Describe the effect on the buyer's workflow and whether an approved fallback exists. This helps the supplier prioritise a failure that stops work differently from a request for a future enhancement.

Identify who may report an issue and what evidence can be shared through the approved channel. Use redacted or controlled examples where possible. Support should not require users to send sensitive live records casually just because the supplier asks for a screenshot or a sample file.

Separate response from resolution

Define acknowledgement, investigation updates, workaround and correction in understandable terms. Ask which commitments the supplier controls and which depend on another platform or service. A vendor can commit to escalation and communication without pretending it can guarantee another organisation's recovery time.

Agree how the buyer assesses a proposed workaround. A temporary method that changes access or decision controls may need review before use. Keep the relevant authorised owner involved rather than allowing urgency to expand the product's permissions informally.

Manage product changes visibly

Ask how updates that affect the purchased workflow are announced and documented. Identify the notice, testing or approval arrangement appropriate to the service. Not every minor interface adjustment needs a formal project, but a change to output behaviour or integration requirements should not be invisible to the responsible users.

Record known limitations and resolved defects in a shared operational location. The buyer should be able to understand the current state without asking the founder to reconstruct earlier conversations. This is especially important when the supplier's product and support team are still developing.

Review repeat problems through the workflow

Track issues that recur despite quick ticket closure. Ask whether the underlying cause is product behaviour, input quality or an unsupported use. Agree a bounded correction and retest it. The aim is a dependable, understandable service for the approved task, not a favourable support statistic that overlooks repeated manual recovery by the customer's team.
