Testing an oil and gas supplier before wider mobilisation

In brief

A supplier trial in an oil and gas project should test a bounded, approved part of the delivery process. It should never create an informal experiment with safety-critical work or unreviewed equipment. Competent engineering, quality, operations and safety teams must define the appropriate test and acceptance conditions, while procurement coordinates scope, records and commercial responsibilities.

Choose a proportionate initial milestone

The first assessment may be a document submission, sample review, workshop evaluation or other stage approved by the responsible technical team. Select something representative of the eventual package without exposing the full project to an unproven arrangement.

Record what the trial will establish and what remains outside it. A successful documentation exercise does not prove site execution capability, and one accepted item does not approve every manufacturer or product in the supplier's catalogue. Keep the result tied to the actual source and scope.

Use the proposed team and controls

Ask the people who will deliver the contract to follow the proposed revision, query and approval process. Confirm authority for changes and the role of subcontractors. A special demonstration prepared by a different team may provide limited evidence of routine delivery.

For example, a supplier may submit a package drawing with a technical deviation. The trial can reveal whether the deviation is declared, reviewed by the right owner and reflected in the next revision. Hiding it in a document note would be a process issue even if the submission arrived on time.

Review evidence through competent owners

Have qualified reviewers assess technical content and required test or inspection results. Procurement should not invent acceptance thresholds or direct hazardous operating steps. Keep observations, comments and closure evidence traceable to the approved requirement.

Evaluate administrative delivery too: response to comments, consistency of identifiers, source records and commercial clarity. A technically acceptable item can still expose weak document control that needs correction before a larger package creates many more records.

Expand only within the demonstrated scope

Document accepted elements, failures, corrections and untested conditions. Require a targeted repeat when material changes affect the trial's basis. Confirm remaining operator and site requirements before mobilisation or further release. A controlled initial assessment supports informed supplier approval without turning one successful milestone into a blanket permission for every project activity or implying that procurement can replace the qualified controls governing oil and gas work.
