Create one authoritative itinerary
Identify the version and issue date. Include the sequence, meeting points, essential timings, transfer arrangements and responsible contacts. Mark any outstanding item plainly; avoid making provisional components look confirmed through polished formatting.
State how updates will be issued and who will acknowledge them. If the operator changes a pickup point, the group leader, driver and relevant venue contact need consistent instructions. An old PDF in a messaging thread should not remain indistinguishable from the current plan.
Provide usable booking references
Include the confirmation information needed at each handover, such as the booking party and relevant reference. Keep commercial amounts and guest identity records in their appropriate controlled channels when they are not needed for day-to-day coordination.
Check that the operating names match the actual providers. A marketing venue name may differ from the name staff use at an entrance or reception desk. Resolving that before arrival prevents unnecessary confusion for a group leader unfamiliar with the location.
Add exception and approval instructions
Name the programme lead, backup contact and buyer's commercial approver. Explain the route for a missing participant, delayed transfer or unavailable activity according to the programme's established procedures. Avoid giving the group leader responsibilities requiring qualifications or authority they do not possess.
For example, if an activity is cancelled, the pack should show who can approve a substitute and how guests will be informed. A list of supplier phone numbers alone leaves the group leader to reconstruct the operating model under pressure.
Reconcile readiness in a final review
Walk through the itinerary with the operator and group leader. Confirm essential reservations, known guest requirements, accepted alternatives and unresolved actions. Record which documents have been received and any remaining deadline.
After delivery, retain the final version together with changes and the final account. This creates a useful record for future programmes and for investigating a complaint. The handover is complete when the people responsible for the visit can use the information confidently, not merely when the operator emails a large attachment and labels the programme confirmed.
