Reconcile services and ownership

List the systems, subscriptions, domains, devices and applications within scope. Identify the business owner and operational provider for each. Confirm which responsibilities transfer and which remain with an internal team or another vendor.

Do not assume that a tool installed by the outgoing supplier belongs to the buyer or can be used under the new arrangement. Review the relevant contract and licensing terms before relying on it for continued service.

Transfer records through controlled channels

Obtain the agreed configuration documentation, inventories, support contacts and open-case history. Handle credentials through the organisation's approved secure process rather than placing them in the general handover document. Record account ownership and access responsibilities without exposing secret values.

For example, the business may control a subscription commercially while an outgoing technician is the only administrator. The transition needs an approved ownership correction before that person's access is removed.

Test critical operating paths

Have the responsible technical team verify ticket routing, monitoring responsibility and relevant recovery arrangements. Select checks proportionate to the service and avoid unapproved disruption of live systems. Document what was tested and which dependencies remain unresolved.

A monitoring dashboard that appears active does not establish who receives an alert or has authority to act. Confirm the notification and escalation path as part of the operating handover.

Close the transition deliberately

Maintain an action list for missing records, unresolved incidents and access changes. Identify the owner and completion evidence for each. Revoke or adjust outgoing access through the approved process after confirming the necessary continuity arrangements.

Retain the final baseline and make it accessible to the business's authorised owners. The new provider should acknowledge the scope it has accepted rather than inherit an undefined promise to support everything. A clear handover gives the organisation control of its environment and allows the next support request to be handled from reliable records, not from informal knowledge that left with the previous team.
