Define the product and assessment roles
Record the manufacturer, product identity, formulation information, pack size and lot details relevant to the trial. Obtain the evidence required by the food-safety or quality owner before use. Identify who assesses safety and compliance and who evaluates preparation, yield and finished quality.
Do not allow purchasing to infer that an alternative is approved because the chef likes the sample. Different reviewers answer different questions, and their decisions should remain visible in the product record.
Use a representative preparation process
Have the operational team test the ingredient in the intended recipe or production method under its established controls. Record the observations that affect the buying decision, such as portion consistency, preparation effort or suitability of the pack format. Avoid inventing universal performance measures for unrelated products.
For example, a different tomato product may require a recipe adjustment to achieve the intended consistency. That adjustment and its operational effect belong in the assessment before the product is compared solely on price per carton.
Test delivery evidence as well as the sample
Confirm that the trader can supply the assessed product consistently and explain how future changes will be communicated. Review the proposed packaging, delivery records and receiving arrangement. A hand-delivered sample may not represent the routine supply process or the documentation that accompanies a full order.
Where the actual product differs from the sample, reassess the relevant characteristics. Similar branding should not be treated as proof that the trial result applies to another formulation or manufacturer.
Make the approval usable for ordering
Record the accepted product, intended uses, limitations and any remaining actions. Include the approved pack and specification in the purchasing system so subsequent orders refer to the tested item. Keep alternatives subject to their own review.
Start with a proportionate order and compare routine deliveries with the approved baseline. A successful trial reduces uncertainty about the evaluated product and process. It does not remove the need for receiving checks or establish that every future lot is acceptable without the buyer's normal food-safety controls.
