Select representative enquiries

Choose items that reflect the garage's routine work and the complexity it expects the trader to handle. Include the vehicle and part information normally available. Avoid giving the supplier a perfect demonstration enquiry if real orders require clarification of variants or source options.

Ask the trader to identify what it can confirm and what remains uncertain. The ability to ask the right question is useful evidence, particularly for older vehicles or components with several possible references.

Review the commercial offer before order

Check the exact item, condition, source description, stock status and return terms. Where a core exchange is proposed, document the requirements before purchasing. The trial should reveal whether the offer can be understood and approved by the parts counter and technical owner together.

For example, a remanufactured item may be offered with a core condition the workshop cannot meet. Identifying that before order is a successful control, not a reason to ignore the terms because the trial quantity is small.

Inspect delivery and records

Compare labels, references, visible condition and accompanying information with the accepted offer. Keep discrepancies identifiable and refer technical questions to qualified personnel before use. Record whether the trader responds with a specific next action.

A correct carton count does not establish that the correct part or condition arrived. The trial should test the same receiving discipline that will apply to later orders.

Make a bounded approval

Review enquiry quality, fulfilment accuracy, communication and return handling. Do not create an artificial fault or damage an item to test support. A documented discussion of the claims process can supplement the observed order where no genuine exception occurred.

Record the range approved and any limitations. Expand only after additional evidence supports more complex categories or sourcing arrangements. A useful trial establishes that the trader can work with the garage's controls, rather than encourage a broad supplier approval based on one quickly delivered component.
