Identify each service and operator

Ask the supplier to list the exact activities, locations and delivering entities. Clarify whether the company performs the service or distributes vouchers for partner venues. Reconcile the contracting entity, invoice and payee through the organisation's normal checks.

If a programme combines several providers, keep their roles visible. Approval of one salon, facilitator or facility should not silently extend to every partner in a network.

Use the appropriate authority

Use the route applicable to the actual service and location, and obtain qualified confirmation when the boundary is unclear.

Do not treat these Dubai resources as nationwide approval or assume that a non-clinical venue can provide a clinical service because it markets itself as a wellness centre. Have the responsible professional determine what evidence is required for the proposed activity.

Review participant and information safeguards

Ask how the provider explains service limitations, checks suitability within its professional remit and handles a participant's concern. The employer should not make clinical judgements or collect sensitive details merely to administer a benefit.

Have privacy and legal owners assess information collection, sharing and retention for the programme. A participation report should be designed around the employer's legitimate administration needs rather than automatically include individual service or health details.

Keep the approval specific and current

Record the source, date, reviewed entity, activity and unresolved action. Confirm how changes in venue, practitioner or service are communicated before employees book. A replacement facilitator or partner location may need further assessment.

For example, a general educational session might be replaced by individual consultations. That is a material change in the offer and should be reviewed before it is presented as an equivalent benefit. The buyer's record should establish what has actually been checked and avoid an unqualified statement that the supplier's entire beauty, wellness and health range is approved.
