Classify the service being purchased

State whether the provider is printing an approved file, preparing a layout, transcribing information or assisting with a particular form. Keep translation, certification and legal advice separate unless those services are explicitly included and appropriately provided.

For an official form, identify who supplies the current template and confirms its requirements. Use the relevant authority or qualified adviser where needed. A typing shop's familiarity with similar forms is useful experience, but should not become an unsupported assurance that every document will be accepted.

Limit the information shared

Ask which source material the provider needs to perform the agreed task. Remove unrelated information where appropriate and use the organisation's approved transfer route. Do not distribute complete identity or corporate records during an initial quotation exercise when a sample or field description is enough.

Identify staff or partners who will access the material and the purpose of that access. If finishing or bulk entry is subcontracted, confirm the information flow and the primary supplier's accountability before files move outside the expected delivery chain.

Define factual checking and uncertainty

Name the buyer reviewer responsible for underlying facts. The provider can check transcription against the supplied source, but should not invent missing dates, names or identifiers. Require a visible exception list for unclear material and a controlled route for receiving corrections.

Consider a hypothetical form with an unreadable field. The supplier should return the uncertainty with its source reference rather than complete it from context. A seemingly finished document containing a guess is less useful than an accurately flagged incomplete one.

Preserve versions and agreed handling

Identify the approved output and keep later changes traceable. For printing, a proof approval should refer to the actual file and production specification. For typing, a corrected source should update the relevant record without leaving several conflicting versions active.

Agree retention, return and disposal of working material through the buyer's applicable policies and contract. Avoid making universal legal claims about how every UAE document must be handled. The procurement check should state what information was shared, who could use it, who verified the facts and what remains for specialist or authority review. That bounded record is more useful than a broad assurance that the provider's service makes the entire document compliant.
