Examine broad service claims

Ask what the provider means by complete accounts, tax compliance or audit support. Separate record preparation, tax-agent work, audit and management advice. Verify specialist professional claims through appropriate official channels and qualified review rather than assuming that one accounting licence covers every proposed role.

Be cautious about guarantees of particular tax results, absence of penalties or approval by authorities. Ask the provider to explain the actual work and limits of its control. A credible engagement should state assumptions and responsibilities rather than promise outcomes it cannot determine.

Check access and ownership demands

Ask why each system permission is needed. A bookkeeping provider should be able to explain the difference between access to statements, preparation of payment information and authority to release money. Use the buyer's approved controls instead of granting unrestricted access for convenience.

For example, a proposal may require the business to use an account controlled solely by the provider without a clear export or recovery process. Resolve ownership and exit access before onboarding. The buyer needs continuing access to its records if the relationship changes.

Look for weak review evidence

Request a sample reporting pack and ask how significant balances are supported. A provider that offers only attractive charts but cannot explain reconciliations or open items may not be proposing the review depth the business needs. Meet the actual preparer and reviewer rather than relying on senior sales credentials.

Clarify how errors, missing documents and historic cleanup are handled. Undefined additional charges can make a low recurring fee difficult to evaluate. Ask for the process and approval point before extra work begins.

Make unresolved conditions visible

Keep a clarification log with evidence, reviewer and decision. Do not describe an unexplained issue as misconduct without support, but do not allow urgency to erase it. The preferred offer should state what is prepared, reviewed and delivered, who retains authority and how records remain accessible. Those commitments provide a stronger basis for appointment than broad assurances that outsourcing removes every responsibility from the business.
