Specify the items and references

Include product codes where selected, dimensions, quantities, materials, upholstery and finish references. Identify intended use and any project evidence requirements determined by the relevant professional. Separate loose furniture from fitted or custom items that need drawings and site confirmation.

If an image is used, explain whether it is a design reference or the exact required product. A supplier should not have to guess which visible details are mandatory and which can vary.

Describe the approval sequence

State which drawings, samples or mock-ups must be accepted before manufacture or order release. Identify the review owner and required timing. Ask suppliers to show dependencies and the effect of late decisions on the programme.

For example, a custom console may require a confirmed site dimension and finish sample. The quotation should explain those conditions rather than present an unconditional lead time that assumes approvals have already occurred.

Make delivery and installation comparable

Provide locations, access constraints, working windows and the planned delivery stages. Ask for separate treatment of transport, unloading, assembly, positioning, fixing where applicable and packaging removal. Have the site team review any work needing specialist assessment or permission.

Request an approach to room labels, packing lists and protection of completed areas. These details can materially affect the labour the buyer needs after the delivery vehicle arrives.

Require a transparent commercial response

Ask suppliers to identify stock status, manufacturing assumptions, price validity, substitutions and after-sales terms. Include the process for defects, damage and missing items. Have the appropriate buyer review deposit and change conditions for the actual order.

Before evaluation, reconcile differences in material, dimensions, finish and service. Carry the accepted response into the purchase order and sample register. A good RFQ gives the receiving and design teams a clear baseline for deciding whether the delivered furniture is what the business agreed to buy, rather than leaving acceptance dependent on memory of a showroom visit.
