Supply reliable cargo information
State the commodity description, package counts, dimensions, weights, readiness date, origin and destination. Identify information that is provisional and the point at which it will be confirmed. Ask bidders to state how a change in packing affects the quotation and booking.
Include relevant handling and receiving conditions. Do not ask a forwarder to infer a warehouse's access restrictions or cargo characteristics from a short product name. Where specialist assessment or permission is needed, identify the responsible review route instead of treating the RFQ as proof of shipment readiness.
Define each part of the service
List origin handling, ocean movement, destination coordination and final delivery separately. Identify activities performed by the buyer's own partners. Ask the forwarder to name its coordination role at each handoff and disclose exclusions that require another appointment.
Request responsibility for preparing, checking and approving transport-document instructions. The buyer should know who can authorise a correction and how the revised version reaches the relevant parties.
Require a transparent commercial response
Ask for included charges, excluded charges and conditional items with their calculation basis. Request quotation validity and routing assumptions. Keep estimates and booking-dependent dates visibly provisional rather than encouraging a falsely precise promise.
Include a plausible variation, such as changed packing data or a revised delivery date, and ask for the assessment and approval method. The aim is to understand pricing behaviour, not to force a supplier to guarantee unknown future external charges.
State the evidence needed during delivery
Require actionable milestone updates and define the recipient for time-sensitive decisions. Ask for delivery acknowledgement, discrepancy handling and a final charge reconciliation. An attractive freight line is not sufficient if the buyer cannot obtain the records needed to close the shipment.
Evaluate responses for completeness before ranking totals. Resolve material differences through a consistent clarification schedule and retain the accepted answers with the shipment instruction. The resulting RFQ should tell the selected forwarder what cargo is moving, which responsibilities it owns and how the buyer will approve changes. It should also let the receiving team understand what it must do before arrival, rather than leaving the destination handoff to assumptions made during quotation.
