A practical handover checklist for small property repairs

Identify the repaired item precisely

Record the property, room and fitting so the work can be found again. Describe the original complaint and the approved action in plain language. Include the relevant component details where a replacement affects future sourcing or maintenance.

Distinguish the observed fault from the contractor's explanation of its cause. If the cause remains uncertain, say so. A statement that a handle was tightened is more reliable than an unsupported conclusion that the original installer was responsible for the problem.

Demonstrate the intended function

Agree the appropriate check before work begins. Open and close the repaired fitting, test the agreed operation and inspect nearby finishes. The property representative should know which result is being accepted and which work was outside scope.

For a cabinet hinge replacement, check alignment, clearance and closure with the normal contents in place where practical. An empty cabinet may operate differently from one used as intended. Do not force an unsuitable test or let a non-specialist acceptance check substitute for any required specialist inspection.

Account for materials and unfinished actions

Confirm the installed part, accepted substitutions and treatment of removed components. Agree whether the owner wants old parts returned or disposed of under the purchasing arrangement. Record any temporary measure explicitly, together with its limitations and the next responsible person.

If a matching component was unavailable, the buyer should see the approved alternative in the handover record. A technician's verbal reassurance should not be the only evidence explaining why a different finish, size or operating method appears in the property.

Connect acceptance to the work order

Capture the accepting person's name or the agreed alternative evidence when direct inspection is unavailable. Keep completion, commercial approval and payment status distinct. Acceptance of a visible repair does not automatically authorise an unapproved extra charge.

Provide the occupant or property coordinator with the route for reporting a repeat fault. Reference the original job so a later complaint can be assessed against the repair history. This closes the maintenance loop and reduces the chance that several technicians treat the same unresolved issue as unrelated new work.
