Establish whether the reference is comparable

Determine whether the reference dealt directly with the contractor's current delivery team. Record the reference's role. A finance contact can discuss invoice accuracy, while a property coordinator may know more about attendance and resident complaints. Neither perspective should be stretched beyond what the person actually observed.
Ask about a complete job journey
Request an example from the initial fault report to final closure. Ask how the appointment was confirmed, whether the technician had the necessary information and whether the proposed remedy was explained. Explore what happened when parts or an additional approval were required.
Useful questions include whether extra charges were approved before work, whether the contractor protected surrounding finishes and whether the completed repair was demonstrated. Ask for the reference's experience rather than inviting unsupported opinions about the supplier's technical competence in every trade.
Investigate a repeat complaint
Ask whether a repair ever needed another visit and how the contractor responded. The useful distinction is not whether a second visit ever happened; some faults reasonably require further investigation. Look for evidence that the company reviewed the original work, communicated the cause and agreed responsibility for the next step.
For example, a drawer may initially operate after adjustment but bind again under normal use. Ask whether the contractor reassessed the fitting or repeatedly closed the complaint after the same temporary adjustment. That reveals more about problem solving than a broad satisfaction score.
Use the reference as one evidence source
Write down specific observations, dates or periods where provided, and any limits on comparability. Give the supplier a fair opportunity to explain a concern that could affect the award. Do not present an unverified allegation as an established fact or convert a polite endorsement into a guarantee.
Combine the reference with the proposed service method, sample records and a controlled first job. If references are unavailable for the required setting, acknowledge the evidence gap and limit the initial scope accordingly. The purpose is to make a better-supported decision, not to collect a positive quotation for an approval form.
