Identify the claim relevant to the contract

Ask what the provider proposes to change in the buyer's workflow: reporting format, document handling or another observable activity. Define the comparison and the evidence available. A digital statement may reduce printed records in one process without proving a wider environmental result.

Examine data and scope

Ask whether the claim is measured, estimated or a future target. Identify the entity, period and activity covered. A group-wide certification or report should not automatically be applied to a different subsidiary or product without checking relevance.

For a hypothetical paperless account process, record which documents actually stop being printed and whether the business can still meet its own access and record requirements. An electronic file is useful only if authorised staff can retrieve and reconcile it.

Preserve operating and control requirements

Do not remove necessary review or approval steps merely to reduce paperwork. Ask whether a proposed digital process supports the company's user authority, record integrity and exception handling. Convenience and sustainability language should not obscure a weaker control arrangement.

Compare suitable alternatives on the same service basis. A change that reduces one activity but creates repeated manual correction may not improve the overall workflow. Keep those trade-offs visible without inventing an unsupported financial or environmental value.

Report only supported outcomes

Use records to describe actual reductions in duplicate documents, manual rework or other contracted activities. Avoid converting them into a carbon-neutrality claim without a defensible method and relevant data.

Keep operational evidence separate from any product-level sustainability assertion that requires specialist review. The company can recognise a useful process improvement without endorsing every environmental claim made by the provider.

At renewal, check whether promised actions occurred and whether the service remained usable and controlled. A strong procurement assessment asks a precise question, obtains evidence within its scope and preserves uncertainty. It should not let a green label substitute for regulatory, contractual or financial due diligence on the business service being selected.
