Describe the transaction workflow

Set out the service required, expected transaction types, channels and reporting needs. Mark volume or currency assumptions clearly. Ask candidates to identify eligibility conditions and dependencies on another institution before they quote a complete solution.

Separate technology, administrative support and regulated financial activity. The buyer should understand which legal entity performs each role and have the relevant licence and contract scope reviewed through the appropriate process.

Test operational visibility

Ask for a demonstration using a suitable test environment or sanitised data. Trace a representative instruction through status updates, completion, fees and reporting. The finance team should be able to identify where an exception appears and how it is reconciled.

For a hypothetical business-payment service, a successful screen message is not enough if the resulting report cannot be matched to the company's records. Request stable identifiers and an explanation of timing and status meanings.

Examine a failed or disputed transaction

Ask who investigates a rejected instruction, delayed completion or disputed charge. Identify the evidence the buyer must provide and the entity responsible for answering. Where several partners are involved, the company needs an accountable coordinating route.

Compare how the provider communicates uncertainty and escalation. An unsupported guarantee that transactions never fail is less useful than a clear process for identifying the issue and deciding the next authorised action.

Compare the full commercial and control arrangement

Review fees using representative transactions and the accepted assumptions. Keep conditional charges and external dependencies visible. Have the company's relevant advisers assess material contractual and risk terms rather than reducing them to an arbitrary supplier score.

Use references involving similar business workflows and a bounded pilot where appropriate. Do not initiate live financial transactions without normal company authorisation simply to evaluate the platform.

Document the selected provider's fit, verified scope and remaining limitations. Preserve user-authority controls, reporting requirements and support responsibilities in the agreement. The best fit is the service the company's authorised team can operate and reconcile reliably under its actual conditions, not the provider making the broadest claims or offering a low headline fee whose operational boundaries remain unexplained.
