Define the outlet workflow
Describe transaction channels, location structure and the reports finance needs. Identify which staff operate the service and which central team reconciles it. Ask the provider to state supported functions, eligibility conditions and dependencies on other organisations.
Have the relevant reviewers verify the entity and authorised activity for the actual arrangement. A platform's technical features should not be treated as evidence that it independently performs every underlying financial service.
Test reconciliation by location
Request a demonstration that shows transaction identifiers, outlet attribution, fees and settlement or completion status. Use test or sanitised data. The buyer should be able to distinguish individual transactions from a grouped payment without inventing a manual mapping after award.
Consider a hypothetical chain whose outlets share a central account. If reports do not preserve the location information needed by finance, a successful customer payment can still create daily reconciliation work. Ask whether the proposed reporting actually supports the company's structure.
Examine refunds and exceptions
Ask how authorised staff request a refund or investigate a failed transaction and how those actions appear in the reports. Define approval roles consistently with the company's controls. An outlet employee should not receive broader authority simply because the platform makes it convenient.
Compare who supports a branch when the issue may involve a device, network or underlying financial service. The buyer needs a coordinating route rather than several suppliers each directing the outlet elsewhere.
Select for a repeatable rollout
Pilot a representative outlet with the company's normal authorisations and review the full reporting cycle. Do not treat one visible successful transaction as sufficient evidence. Confirm training, access administration and support for the intended locations.
Compare fees against realistic transaction assumptions and have material contract terms reviewed appropriately. Keep uncertain volumes and external conditions visible.
The preferred provider should support the outlet's customer operation and the central finance team's evidence needs together. Preserve those requirements in the award so the rollout does not produce a convenient front-end service whose transactions cannot be reconciled or governed consistently across the business.
