Build the nightly demand picture
Create a table of expected rooms by night, room category and occupancy. Show early arrivals and extensions separately from the main group. If headcount is uncertain, explain the confidence range and ask properties to offer clearly defined options rather than requesting an unrealistic fixed commitment.
Identify any guests who need specific accommodation and arrange confirmation through an appropriate private channel. Avoid using a general room count as evidence that every individual requirement is covered. A room block can be numerically sufficient while unsuitable for part of the group.
Examine inventory and release terms
Ask the hotel what is being held, until when, and under which contractual conditions.
