Translate the contract into bookable inventory
List the room categories, occupancy basis, arrival dates and nightly quantities covered by the arrangement. Ask the property to explain whether rooms are reserved against a block or remain subject to availability at each booking. Record release dates and the consequences of unused inventory in the agreed contract wording.
Separate standard traveller bookings from group allocations. A group rooming list may need a different contact, deposit process and amendment deadline. Identify who can add nights and whether extensions receive the negotiated rate. Avoid publishing an internal booking guide until these conditions have been confirmed.
Set the payment instructions
Define the company-paid items, traveller-paid incidentals and any deposit or credit arrangement. Give reception a clear billing instruction for each reservation rather than relying on a general promise that the company will pay. Agree the process for travellers who have no personal payment card available.
Have finance inspect a sample invoice with room nights, meal inclusions and separately identified charges. Confirm the contracted entity, invoice recipient, purchase-order reference and dispute contact. A hotel brand name may differ from the entity issuing the invoice; resolve that relationship before the first stay.
Test a real reservation
Run a small booking through the intended channel. Verify that the confirmation displays the correct property, dates, room type, inclusions and cancellation conditions. Ask reception how it sees the company payment instructions. Test an authorised date change and check that both confirmation and room allocation update.
Send only the traveller information needed for the reservation through agreed channels. Restrict access to rooming lists and remove obsolete versions from operational circulation. Travellers should know whom to contact for a booking problem without sending personal details to a wide group email.
Release the hotel to employees
Publish a short booking guide containing the property address, booking method, escalation contact and approval requirements. Explain which requests need separate confirmation, including early arrival, accessible accommodation and additional guests. Review the first invoice against the booking record and guest stay dates. Close discrepancies with the property before expanding the room block, so the programme grows on a working process rather than an untested rate sheet.
