Verify the property and its classification

The UAE Ministry of Economy and Tourism describes hotel licensing and classification as requirements issued by government tourism agencies. Ask for the named property's current licensing and classification details and verify them through the relevant local tourism authority where a verification service is available. Match the address and property name to your proposal.

Treat classification as one input, not proof that a hotel meets a particular corporate programme. A property may suit individual business travellers while lacking the meeting layout or arrival capacity required for your group. Inspect the services that matter to the actual booking.

Identify the contracting arrangement

Clarify whether you are contracting directly with the property, its operating entity or an intermediary. Match the invoice and payment instructions to the documented arrangement. Independently confirm unexpected payment-account changes using a previously verified hotel contact rather than the contact details in the change request.

Ask the hotel to identify which services are provided by external companies, such as event production or transfers. Confirm who contracts with those providers and who handles a service failure. Avoid assuming that every supplier mentioned by hotel sales is included in the property agreement.

Check the intended event and guest needs

For meetings, explain the event format, expected attendance, equipment and any unusual activity. Ask the property to identify relevant approvals, restrictions and responsibilities for that specific event. Confirm accessibility requirements directly and sensitively with the guest and property. Record the accommodation or route that has actually been agreed rather than marking a general accessibility box. Keep evidence tied to the booking

Retain the verified property details, contract, inclusions, cancellation terms and approved changes together. Set a review date for long-running agreements and recheck material changes in operator or service scope. Give the booking team a route to report discrepancies. These checks support a sound purchasing decision while leaving regulatory interpretation, event approvals and specialised guest requirements with the appropriate responsible parties.
