Identify the material difference
Ask what is changing, why and which employees or bookings are affected. Record the actual delivering provider, service format and location. Distinguish a scheduling adjustment from a change that introduces a different professional activity.
For example, replacing a general group workshop with individual consultations changes the participant journey and may require a different qualified review. It should not be accepted merely because the supplier describes both as wellbeing support.
Recheck provider and participant requirements
Complete the relevant activity and jurisdiction checks for the replacement. Review access, language, booking and service limitations. Have the appropriate professional owner assess any clinical or specialist component rather than leave that decision to the programme administrator.
Ask whether information collection or reporting changes. A new platform or partner may receive different participant details, so the privacy review should follow the actual revised arrangement.
Assess the commercial and communication effect
Request the change in fees, unused bookings, cancellations and available alternatives. Have the responsible buyer review the terms. Employees should receive accurate information before deciding whether to use the revised service.
Keep participation voluntary and explain any practical option for someone whose original booking is no longer available. Do not assume that an employee who accepted one benefit has agreed to a materially different activity.
For existing appointments, ask the supplier to identify who contacts each affected participant and confirms their preference. A general announcement may not reach someone with a booking already in place. Keep administrative confirmation separate from any private discussion of the underlying service.
Approve and update one service record
Record the authorised replacement, review evidence and effective date. Update the participant materials, venue list and internal account instructions together. Old listings should not continue directing employees to a service that no longer participates.
After the change, review booking issues and feedback about the revised offer. Preserve the distinction in programme reporting so the employer does not compare different services as if nothing changed. A controlled process allows the benefit to adapt while keeping its meaning, professional boundaries and participant expectations clear.
