Map the physical and digital handoffs
List where source material originates, where work is performed and where the final output must arrive. Distinguish electronic delivery from physical collection or distribution. Ask which activities the supplier performs directly and which are assigned to another organisation.
For sensitive source documents, agree appropriate transfer and chain-of-custody controls through the buyer's policies and contract. Do not send originals or complete personal records merely because a courier collection is offered if the task can be assessed using a safer proportionate sample first.
Specify branch-level receiving requirements
For print programmes, provide location names, quantities, variants and receiving contacts. Ask how packages are labelled and acknowledged. A national delivery claim does not establish that the supplier can assemble and reconcile location-specific packs.
Consider a hypothetical branch receiving the wrong variant. Identify who investigates the packing record, authorises correction and arranges replacement. The buyer should not be left coordinating a printer and delivery partner that each regard the error as the other's responsibility.
Check support for a less convenient location
Use a site outside the supplier's ordinary delivery pattern or with restricted receiving access. Ask what notice and information are needed and how the quotation changes. If the supplier cannot meet the requirement, record the limit rather than rely on an informal promise to manage it later.
For typing, confirm that reviewers in different locations can access the current output and exception list through the agreed method. Geographic reach should not create several conflicting correction channels.
Award the demonstrated service area
Compare delivery and correction arrangements alongside production price. A lower basic quote may be suitable where the buyer deliberately manages distribution, but that responsibility should remain explicit.
Test representative locations before expanding a recurring programme. Review actual pack accuracy, receipt evidence and correction handling by site. Update the coverage record when partners, locations or source sensitivity changes.
The useful result is a map the buying team can use: where the supplier can collect or deliver reliably, which records support the handoff and when another arrangement is needed. It should preserve document accuracy and accountability across distance rather than assume that a broad geographic claim makes every production and distribution process identical.
