Starting with the technology label

A request for artificial intelligence, automation or another emerging approach can produce many proposals without a common purpose. Describe the workflow and the problem first. Identify what change would matter and what evidence could establish it. This allows innovative suppliers to propose different solutions while preserving a meaningful comparison.

Avoid copying a vendor's claimed savings into the business case without a relevant baseline. Use the buyer's own information and label estimates. A pilot can then test the assumption instead of being designed to confirm a result that the approval document has already treated as certain.

Confusing a demonstration with a product

Ask what functionality is available, what is configured and what is performed manually behind the scenes. Record roadmap and development items separately. A supplier-assisted demonstration may be useful evidence, but it does not establish that ordinary users can reproduce the workflow under the quoted service.

Test representative exceptions as well as straightforward cases. Observe whether users can identify incorrect or uncertain outputs and how much review is needed. A fast response on easy inputs can conceal the effort required when the product meets the buyer's normal inconsistencies.

Ignoring implementation and access

Identify customer preparation, integrations and support ownership before starting. Route information and decision-boundary questions through the responsible organisational review. Do not grant broad live access merely to accelerate a trial when controlled examples can answer the initial question.

Keep the process owner involved after procurement. A tool without someone responsible for maintaining inputs, reviewing results and coordinating change can become an unused subscription. Supplier support is valuable, but it cannot replace every internal decision about how the business should operate.

Failing to define a stopping point

Agree pilot duration, acceptance evidence and closeout before commitment. Make continuation a deliberate decision and confirm how useful records are retained if the project stops. A trial that reveals poor fit can save the organisation a larger mistake. The objective is a defensible purchasing decision, not an obligation to adopt every new technology that produces an impressive presentation.
