Compare intended and actual use

Review the business task that justified adoption and how users now perform it. Identify functions that create usable value and those that remain unused. Investigate whether low use reflects poor fit, insufficient implementation or a changed requirement before deciding that the solution has failed or should simply be promoted more heavily.

Examine the review effort behind outputs. If staff spend substantial time correcting results, include that work in the renewal assessment. The product may still be worthwhile, but the decision should reflect the complete operating model rather than counting generated outputs as finished tasks.

Review changes in the service

Compare the current product, limits and dependencies with the original agreement. Identify features added, removed or moved to another price tier. Ask how the proposed renewal supports the workflow the buyer actually uses, and keep roadmap promises separate from current capability.

Review support, update communication and unresolved defects. Require concrete action on material recurring issues. A discount does not by itself remedy a workflow that remains unreliable or difficult to govern, and a new feature should not distract from an essential unresolved requirement.

Evaluate the next commitment

Model the expected usage and a plausible higher-use case using the proposed terms. Include implementation work for an alternative and any transition overlap, with stated assumptions. Avoid treating switching effort as either zero or an automatic reason to retain the incumbent.

Review notice, renewal and exit provisions in the actual agreement through the buyer's normal commercial process. Confirm the format and usability of records needed for transition. An export promise should be tested with an example rather than left until the subscription is about to end.

Decide and preserve the rationale

If renewing, update the approved scope, access and performance actions. If changing or stopping, arrange the agreed closeout and transfer responsibilities. Record the evidence and expected benefit of the decision. A good renewal makes the next period more deliberate and manageable, whether the organisation expands the innovative service or chooses a simpler approach.
