Match the configuration line by line

Start with editions, product versions and the intended period of use. Check whether quoted quantities refer to learners, devices, classrooms or concurrent users. A licence priced per device should not be treated as equivalent to a learner licence until the school understands how shared equipment and home access will work.

For physical resources, compare the full set required by the lesson plan. Record teacher guides, consumables, storage cases and replacement components separately. Ask each bidder to confirm that the configuration matches the evaluated sample, especially if the product description on the quotation is abbreviated.

Expose the service assumptions

List configuration, account import, administrator training, delivery and after-sales support as explicit rows. Mark each included, excluded or unclear. Do not fill a missing price with zero merely because the quotation is silent. Send a written clarification and preserve the supplier's response with the comparison.

Check who performs each implementation task. A lower offer may require the school's own staff to prepare data, label resources or distribute accounts. Estimate that work using the school's planning assumptions and show it separately from the supplier's charge rather than inventing a universal implementation allowance.

Model the likely quantity changes

Use a consistent scenario for enrolment additions, replacement copies or campus transfers. Ask how those changes are priced and whether they affect the subscription end date. For a multi-year offer, separate the committed period from optional renewals and identify which future prices are fixed and which remain unknown.

Keep currency, tax treatment, payment milestones and quote validity visible for the finance review. If an item is priced in a different currency, record the exchange assumption used for comparison without presenting that estimate as a guaranteed final cost.

Explain the recommended choice

Present the comparable base cost alongside implementation effort, unresolved exceptions and readiness risk. A bidder may justify a higher price through a service the school actually needs, but describe that benefit specifically. The recommendation should show which offer delivers the approved teaching configuration and how its remaining uncertainties will be closed before the order is released.
