Reconcile the product identity

Confirm the exact product, manufacturer or brand, pack format and relevant specification. Ask the food-safety owner to review the label and other applicable evidence, while the operational team assesses suitability for the intended use. Do not treat two broad descriptions as equivalent without that review.

A different cut, concentration or preparation form may require a different recipe or portioning method. The supplier should identify such differences rather than present every alternative as a direct replacement.

Convert to a common buying unit

Calculate the price using consistent quantities and show the contents of each outer pack. Include delivery charges and order minimums that apply to the actual purchasing pattern. If usable yield matters, use a controlled operational assessment rather than invent a standard yield for every product.

For example, a larger pack may have a lower unit price but exceed the kitchen's practical consumption or storage arrangement. The cost of unused stock should be assessed from the operation's evidence, not assumed away because the invoice price is attractive.

Compare remaining shelf life and availability

Ask suppliers to state the agreed product-specific remaining-life commitment and how it will be evidenced at delivery. The responsible team should determine what is suitable for the intended use. Avoid applying one arbitrary threshold across unrelated foods.

Mark stock availability and delivery assumptions clearly. An offer depending on a future shipment has a different level of certainty from stock allocated to the buyer's order. Evaluate whether the kitchen can tolerate the proposed lead time and any risk of substitution.

Preserve the approved comparison

Record operational trials, accepted differences and unresolved conditions alongside the commercial evaluation. Where one supplier is selected despite a higher price, explain the relevant benefit, such as a suitable pack size or more dependable supply of the approved product.

Use the same specification at receipt and in later price reviews. A comparison loses its value if the trader subsequently changes the pack format or product without reassessment. The goal is an understandable cost for the ingredient the kitchen can actually use under its approved operating and food-safety controls.
