Build a usable product schedule
For each item, state the approved brand or specification, pack size, expected order pattern and intended use. Include product-specific evidence requirements established by the responsible reviewer. Separate mandatory characteristics from preferences so a supplier can propose an alternative transparently.
Use consistent units. A price per carton is difficult to compare when carton contents differ, and a price per kilogram may still omit a relevant difference in usable yield. Ask the operational team to identify where a preparation trial is needed.
Describe the receiving arrangement
Provide delivery locations, windows, ordering cutoffs and the process for confirming quantities. Ask suppliers to explain how they handle shortages, partial deliveries and products awaiting replenishment. State who is responsible for transport and the evidence needed under the buyer's receiving controls.
For example, a kitchen may be able to accept a delivery only before production begins. An attractive price from a trader whose route reaches the site later may require a different ordering plan or be unsuitable for the requirement.
Control product changes and rejection
Require advance notice of changes to product identity, formulation, manufacturer or other approved characteristics. Describe the route for submitting substitutes for operational and food-safety assessment. The delivery team should not make that decision at the receiving door.
Explain how held or rejected goods are reported, identified and resolved. Request the supplier's process for investigation, collection and commercial adjustment. Keep acceptance of the product separate from negotiation over a credit.
Request a clear commercial response
Ask for prices against the common schedule, validity, order minimums, delivery charges and any volume assumptions. Identify which items are held in stock and which depend on a further purchase or import. Have the relevant commercial reviewer assess the proposed terms for price changes and commitments.
Before award, reconcile deviations and retain the accepted product schedule with the agreement. The RFQ should leave the receiving and kitchen teams with a practical baseline they can recognise on every order, rather than a price list that cannot establish whether the trader supplied the food the business actually approved.
