Match the equipment to the accepted requirement

Identify models, relevant condition and proposed allocation. Ask suppliers to explain alternatives and provide evidence needed for technical review. Do not assume that similar names or nominal capacities establish equivalent performance under the site's actual conditions.

Keep unresolved technical questions visible. An offer tied to an identified machine may carry a different level of certainty from one that promises a later selection from available stock.

Reconcile responsibilities around the machine

Read exclusions beside the main price and obtain a final reconciled offer. Document why the selected supplier fits the approved duty and what internal responsibilities the buyer accepts. If a higher-priced offer includes commissioning or support the other lacks, explain the practical difference rather than presenting the award as a vague quality preference.

The resulting comparison should remain understandable to the site and finance teams after delivery. It should show what equipment and service were purchased, which assumptions were confirmed and what still requires competent technical or commercial approval before a change proceeds.
