Reconcile the actual offer
List activities, duration, delivery format, named facilitators or partner venues and included materials. Identify clinical components for separate qualified review. Ask suppliers to explain exclusions and the conditions under which a service may be replaced.
A programme with more activities is not automatically better. Some may be irrelevant to the workforce or difficult to use because of location, language or scheduling.
Compare realistic employee access
Review available times, participating branches, booking capacity and cancellation rules. Test the offer against the workforce's shifts and travel constraints. A nominally broad network can provide limited access if the relevant services are available only in a small number of locations.
For example, two voucher programmes may offer the same face value but differ in eligible services or appointment restrictions. The employee's usable benefit can therefore differ even when the employer pays an identical amount.
Examine participant information and claims
Compare the data collected and the reports supplied to the employer with the privacy owner. More detailed individual reporting is not necessarily more valuable or appropriate. The business should receive information aligned with the agreed programme purpose.
Review health and productivity claims critically. Ask what evidence supports them and whether it applies to the specific activity being purchased. Do not treat a supplier's broad marketing statistic as a forecast for your workforce.
Check whether an advertised network size counts all venues or only those offering the purchased service. Ask for the eligible list attached to the quotation, because a broad network total can otherwise make two materially different offers appear equivalent.
Calculate the complete commitment
Include setup, minimum participation, unused vouchers, additional sessions and any charges for changes. Have the responsible buyer assess the terms. Distinguish a committed booking from an allocation that employees may redeem only subject to future availability.
Record the selected service and its limitations in plain language for employee communications. A good comparison explains what people can actually access, how the service is delivered and what the employer is committing to fund. It should not reward the largest list of wellness features when the underlying activities, provider suitability and participation conditions remain unclear.
