Describe the change in business terms

Identify the new task, user group or output and explain why it is needed. Distinguish a correction to an agreed deliverable from an additional capability. Those situations may have different commercial treatment, and the contract record should show which one the parties are approving.

Ask the supplier to classify the change as configuration, standard product functionality or development work. Record dependencies and uncertainty. A small interface request can require a substantial integration change, while a new report may already exist in another configuration. Evaluate the actual work rather than the apparent simplicity of the request.

Revisit access and decision boundaries

Determine whether the change introduces new information, external services or automated actions. Route those effects through the buyer's responsible technical, legal or governance review as appropriate. Approval for a drafting workflow should not silently become permission to send messages, execute transactions or make regulated decisions.

Use controlled examples to test the revised behaviour before applying it to live operations. Record which existing functions need regression checks because the change could affect them. The aim is a proportionate review tied to the actual dependency, not a ritual repetition of every original test.

Agree delivery and commercial effects

Request the cost, timeline, support implications and acceptance evidence. Clarify whether the change affects usage limits or future subscription charges. Identify the buyer authorised to approve those commitments and keep the supplier's written acceptance with the variation.

Update the current scope and mark superseded instructions clearly. Product teams and business users should be able to identify the approved version without searching through informal conversations. Preserve the history so the organisation can later understand why the workflow or price changed.

Verify the revised result

Test the changed capability against the agreed criteria and record unresolved limitations. Update user guidance and support information where behaviour has changed. If the evidence does not support wider use, retain a bounded rollout or request correction. Controlled change allows the buyer to learn and expand while keeping the service it operates connected to the service it actually approved.
