Ask the supplier to identify the product version and show the required workflow. If a function is planned or needs development, record that status and the proposed delivery commitment. A future feature should not receive the same evaluation score as one the buyer has actually tested under relevant conditions.

Be cautious when every requirement is answered with a promise to customise later. Custom work can be appropriate, but it needs scope, acceptance and ownership. Without those details, the buyer cannot distinguish a feasible implementation plan from an open-ended development dependency.

Results without an explanation of effort

Request the baseline and conditions behind performance claims. Ask whether outputs were manually reviewed, corrected or prepared by the supplier. A demonstration can still be valuable with human assistance, but the buyer needs to know the operating model it would purchase.

Avoid treating a customer logo or award as proof of the proposed result. Ask what use it represents and whether a comparable reference is available. If evidence is limited, reflect that uncertainty in the pilot design instead of repeating a broad claim as established fact.

Unclear access and dependency boundaries

Ask what information the product needs, which external services it uses and who can access the records. A request for broad live access before the scope is understood should remain unresolved through the buyer's normal review process. Synthetic examples can often support early evaluation without that commitment.

Examine the support and export arrangements. If the supplier cannot explain how the buyer retrieves usable records or handles a service interruption, the proposed workflow may be difficult to maintain. A friendly founder relationship is helpful but does not replace an accountable operating plan.

A pilot that cannot lead to stopping

Review continuation, cancellation and closeout terms before starting. The trial should support a genuine decision, including rejection or retesting. Resolve unclear commitments through the agreement and keep the pilot's scope bounded. A strong supplier can explain both the value it proposes and the conditions under which the buyer should decide that the product is not yet a fit.
