Measure the completed business task
Define what counts as a usable result. For a drafting tool, that might include the amount of review and correction needed before an authorised user accepts the output. For an integration service, it may involve the successful transfer and reconciliation of the intended record. Avoid counting every generated output as completed work.
Record the conditions behind the measure. Different input quality, workload or user experience can affect results. A comparison is more useful when those differences are visible, rather than combining unlike cases into a single improvement percentage.
Track exceptions and recovery
Review incorrect outputs, failed integrations and unavailable service separately. Ask whether users could recognise the problem and follow the agreed recovery route. Fast ticket closure is not enough if the same issue repeatedly forces the customer's team into manual work.
Distinguish product defects from unsupported use or missing customer inputs. That distinction guides the action required without excusing an unclear proposal. If the supplier sold a workflow that depends on conditions never disclosed, the scope and operating plan may need correction.
Examine the cost of maintaining use
Track material configuration, review and support effort alongside usage charges. Compare those observations with the business case assumptions. A product can remain valuable even if it does not achieve every initial expectation, but the buyer should understand the actual cost and benefit of continuing.
Record changes in product behaviour or pricing that affect the workflow. Ask whether users received adequate notice and whether the documentation remains current. Emerging products can improve rapidly, but untracked changes can also make previous evaluation results less representative.
Agree evidence-based improvements
Select a few issues that materially affect the task and set a correction or retest. Review the result with the process owner and supplier. Avoid declaring realised savings or broader business outcomes without supporting evidence. The performance record should help the buyer decide whether to retain, adjust or expand the service on the basis of demonstrated use, rather than enthusiasm for the technology category.
