Reconcile the agreed deliverable
Compare the completed workflow with the pilot scope and authorised changes. Identify which functions are available, which remain experimental and which were not delivered. Keep supplier-provided manual assistance visible so the buyer does not mistake a supported demonstration for an independently operable product.
Record the environment and product version used. If the proposed production configuration differs, explain the difference and its implications for further testing. A pilot result should not automatically be described as proof of a larger or differently integrated deployment.
Transfer the operating record
Retain the configuration summary, relevant access roles, support route and known issues in the buyer's approved location. Ask the supplier to explain the routine tasks the customer will own. The handover should help an authorised colleague operate or evaluate the service without reconstructing a series of informal messages.
Keep sensitive access material out of general documentation and use the organisation's established access process. The operational record can identify the responsible owner and approved route without exposing credentials or unnecessary personal information to the wider project team.
Preserve the evaluation evidence
Collect the test cases, observations and correction log in a form the buyer can interpret. Distinguish raw outputs from reviewed or manually corrected results. Record the baseline and any limits on the conclusions, such as a restricted input format or a short observation period.
Ask the process owner to confirm whether the evidence answers the original purchasing question. If an important issue remains open, assign a further test or decision rather than marking the project complete solely because the trial period has ended.
Close or transition deliberately
For a stopped pilot, follow the agreed account and information closeout process and retain useful non-sensitive learning. For continuation, identify the additional contract, support and readiness work required. Record who accepts the handover and which conditions remain. A clear closeout protects the value of the experiment by making its result usable beyond the original demonstration team.
