Separate final outputs from working material

Ask the agency to identify approved files by asset, language, format and intended channel. Keep drafts and rejected directions out of the production folder. Filenames should make it possible for a colleague unfamiliar with the project to choose the correct version without guessing.

Match the files to the original deliverable schedule. Check dimensions, page counts and required formats. For print work, confirm that the supplied artwork follows the agreed production specification; for digital use, inspect the actual exported asset rather than relying only on a presentation preview.

Check editability and dependencies

Where editable source files are included, have the receiving team open them in the expected software. Check linked images, fonts and other dependencies. Document anything that requires a separate licence or cannot transfer. A source file with missing components may be technically delivered but practically difficult to maintain.

Identify which elements the internal team may safely update, such as a date or contact name, and which changes need design or factual review. This is particularly useful for presentations and recurring collateral that non-designers will edit after the agency leaves.

Receive the permissions record

Request the agreed register of third-party assets and their usage limits. Include relevant stock references, talent permissions and expiry information where applicable. Keep the supporting records accessible to whoever will authorise future reuse.

Do not assume that an image appearing in an editable file is cleared for every future campaign. If the business plans broader use, resolve the rights question with the appropriate advisers and supplier before distributing the asset further. The handover should expose restrictions clearly rather than bury them in a past email.

Close with an acceptance check

Review a sample from each asset family, including every language and production type. Verify approved wording, contact details and corrections. Record missing items and give them an owner before closing the purchase order.

A complete handover leaves the business with an organised, usable library and a clear record of approval. That makes later updates faster and helps the next designer preserve the intended identity without copying mistakes from an uncertain old file.
