Confirm the appointment and entity
Identify the legal contracting entity and the services it will provide. Ask the firm to distinguish interior design, specialist technical work, procurement and site support. Verify relevant activity or professional evidence through the appropriate route for the project, with qualified review where applicability is uncertain.
If another consultant performs part of the work, record its role and the coordination responsibility. The client should know who answers a question and who accepts responsibility for the relevant information. A single commercial contact is convenient but should not obscure the underlying design interfaces.
Trace portfolio evidence
Ask what the firm delivered on selected comparable projects and which team members were involved. Request examples of relevant outputs, with confidential information removed where necessary. A layout, schedule or issue register can reveal working discipline that a completed-space photograph cannot show.
Check references for the proposed service, not only the overall project. A client may praise concept work while having appointed another party for detailed coordination. Record that distinction and avoid treating a positive reference as evidence for responsibilities it never observed.
Review delivery capacity
Meet or identify the proposed project lead and understand supervision and cover. Ask how the team manages revisions, specialist inputs and contractor questions. A small practice may be well suited to the project, but the client needs a credible plan for the actual programme and workload.
Discuss how the consultant handles an unavailable product or a site discrepancy discovered after concept approval. Evaluate the decision and documentation process. The useful evidence is a method for resolving uncertainty, not a promise that changes never occur.
Close scope and information questions
Review deliverables, file formats, permitted use and handover requirements through the client's normal contractual process. Identify any missing survey or specialist appointment before award. Retain the evidence and conditions supporting the decision. Due diligence should make the design relationship understandable and bounded, without turning a portfolio review into an unsupported statement that the firm is approved for every architectural or fitout service across the UAE.
