Establish the comparable scope
Confirm the premises type, broad project scale and services purchased. Ask whether the consultant provided concept only, detailed information, procurement support or site review. Identify differences from your intended appointment. A reference for a limited stage can still help, but it should not be used to validate services outside that stage.
Ask whether the proposed lead worked on the reference project. Team continuity can affect how directly the experience transfers. If the team differs, ask the bidder how it maintains the same methods and supervision rather than assuming a company name alone ensures an equivalent arrangement.
Discuss decisions and revisions
Ask how clearly the brief was agreed and how stakeholder comments were handled. Find out whether approvals referred to identifiable drawings and samples. A process with many presentations can still be difficult if nobody can establish which revision the client accepted.
Request an example of a material change. Explore how the consultant explained the effect on cost, programme and other design work. The aim is to understand communication and control, not to criticise a normal project variation simply because it occurred.
Examine procurement and delivery support
If those services were included, ask how the consultant handled supplier queries, substitutions and site discrepancies. Determine whether the information was sufficiently clear for its stated purpose. A contractor-pricing package and a concept presentation should be judged against different expectations.
Discuss the handover and unresolved issues at the end of the appointment. Ask what information the client received and whether colleagues could use it without returning repeatedly to the original designer. Avoid requesting confidential drawings or commercial details; practical examples are usually enough for the reference discussion.
Convert observations into appointment terms
Record relevant strengths, limitations and questions for the bidder. Use them to refine the deliverable schedule, revision process or coordination responsibilities. Combine the reference with portfolio evidence and the proposed team review. The result should improve the purchasing decision without becoming a universal public claim about the firm's design quality or a guarantee that another project will have the same outcome.
