Identify the contracted role

Reconcile the proposal, agreement and invoicing entity. Ask which activities the intermediary performs, coordinates or excludes. Distinguish booking assistance from a fuller service that includes collection, document checking and destination delivery.

Identify the relevant partners and who remains accountable to the buyer. The company should not discover an unowned handoff only when cargo is waiting for a decision at an airport or receiving site.

Review cargo-acceptance coordination

Ask how the provider gathers contents, packing and handling information before proposing the route. It should identify specialist questions and the qualified party responsible for answering them. Do not accept an approach that encourages vague descriptions or assumptions to make cargo appear easier to book.

Request a sanitised example of document and acceptance-status control. The buyer should be able to see the difference between information submitted, cargo accepted and actual movement without obtaining another client's confidential shipment data.

Follow an exception through the service chain

Use a hypothetical missed readiness milestone or changed flight plan. Ask who obtains facts, presents alternatives and seeks commercial approval. A useful response identifies the next action and owner rather than simply refers the buyer to another partner.

For a temperature-sensitive or otherwise specialist shipment, have the responsible product or technical reviewer assess any changed handling arrangement. Procurement should not decide suitability from the forwarder's general assurance alone.

Assess reporting and commercial discipline

Ask how the chargeable basis is confirmed and how final packing changes are recorded. Review the method for explaining additional charges and providing delivery evidence. An attractive initial rate is weak evidence if the final account cannot be reconciled.

Use references for comparable cargo and routes, noting which partners delivered the service. Record gaps as a clarification, pilot or award condition before booking.

Approval should state the lane, cargo and scope reviewed. Reassess material changes rather than treating the intermediary as universally suitable for every urgent or specialist shipment. The due-diligence result should make the air cargo arrangement understandable and accountable, while preserving the qualified acceptance and handling decisions needed for the actual consignment. It cannot guarantee external transport outcomes, but it can reduce avoidable uncertainty about who is responsible for coordinating them.
