Establish the shipment context
Ask about broad cargo characteristics, origin, destination and service scope. Identify whether the forwarder handled collection, documents and final delivery or only the air movement. Record the relevant team and period of use.
Avoid requesting confidential cargo values, customer records or negotiated rates unnecessarily. The reference can explain process quality without exposing commercially sensitive shipment information.
Explore readiness and pricing clarity
Ask whether the provider explained packing-data requirements, chargeable-weight basis and included charges before booking. Were final measurements and document instructions reconciled before acceptance? Did the buyer understand which dates were estimates and which milestones were confirmed?
A useful question is what the reference would specify differently next time. The answer may identify a missing receiving contact or unclear change-pricing method that can improve the new RFQ.
Ask about a real timing exception
Request an example of cargo becoming ready late, a changed movement plan or a destination delay. Ask when the provider communicated the issue, which alternatives were explained and who remained accountable across partners.
For a hypothetical urgent shipment, an external schedule change may be unavoidable while delayed notice to the buyer is a separate service failure. Preserve that distinction rather than treating every late delivery as entirely the forwarder's fault or every airline-related issue as outside review.
Review delivery and closure
Ask whether the receiving evidence and final account were clear. How were discrepancies or unexpected charges investigated? Did the buyer supply substantial unplanned coordination to obtain the result?
Where specialist cargo was involved, ask about the process for obtaining relevant acceptance decisions, not for confidential technical details or a general endorsement of every product type. A successful movement supports the conditions actually used.
Summarise concrete observations and limitations. Give the shortlisted provider an opportunity to explain material differences and use the reference to choose a pilot or contract condition. The aim is a better buying decision about the route and handoffs required now, rather than a testimonial that turns one successful shipment into an unsupported promise of universal speed, acceptance or cargo suitability.
