Prepare the destination handoff

Give the receiver the relevant shipment reference, expected package information and agreed delivery arrangement. Identify who can approve a changed receiving time or location. Ask the forwarder to explain any remaining release or document dependency before arrival.

Where another appointed party handles part of the destination process, name the contact and required information. The receiving team should not discover that responsibility is missing only after cargo becomes available.

Reconcile the physical receipt

Compare package counts and identifiers with the expected record. Record visible discrepancies through the agreed process and avoid an unqualified complete-delivery acknowledgement where a material issue is known.

For a hypothetical partial receipt, identify which packages arrived and what remains under investigation. A vague note that the shipment is incomplete is harder to resolve across handling partners than a precise record connected to the airwaybill and packing information.

Keep specialist acceptance separate

If cargo requires product-condition or technical review, have the responsible qualified person make that decision using the agreed evidence. Procurement's receipt of packages should not be treated as acceptance of product quality or suitability.

For a hypothetical temperature-sensitive consignment with missing condition information, keep the issue open for the product authority rather than infer acceptability because the flight was short or the packaging looks intact.

Close documents and charges

Retain accepted transport records, relevant amendments and delivery acknowledgements with the shipment reference. Make the current version clear. The buyer's finance and inventory teams should be able to use the records without reconstructing several partner messages.

Reconcile the final charge with the approved cargo and service basis. Assign an owner and next action to disputed or missing items, even when the cargo is already usable. Physical delivery should not erase unresolved commercial work.

The completed handover should explain what was received, which acceptance decisions were made and what remains uncertain. Keep the record accessible through the buyer's normal controls. It supports later enquiry and a fair supplier review without treating an airline tracking event as proof that every destination responsibility or product-specific requirement has been completed.
