Trace the equipment supply arrangement

Ask whether the supplier owns, controls or sources the offered equipment through a partner. Reconcile the contracting entity and invoice, and identify who is accountable for condition, maintenance and return. A partner-sourced machine can be appropriate, but the buyer should not discover a different responsibility chain only after mobilisation.

Request the proposed model and unit identification where available. If allocation is provisional, establish the final review and approval point before delivery. A catalogue listing does not prove that a suitable machine has been reserved.

Review equipment-specific evidence

Have competent personnel identify the manufacturer's information, inspection, maintenance or other records required for the duty and applicable process. Check that documents can be linked to the offered unit. Do not treat a genuine record for a different machine as equivalent evidence.

Record missing or ambiguous information and the person responsible for resolving it. Procurement can coordinate the request without making technical judgements beyond its competence or allowing a commercial deadline to close an unanswered suitability question.

Follow a support incident through the chain

Use a hypothetical fault requiring a specialist or replacement part. Ask who receives the report, who can make a support decision and how the site is updated. Identify which resources relate to the offered model rather than accepting a broad claim that all parts are readily available.

If the supplier proposes a substitute, require the relevant technical assessment and records. A quick replacement offer is not the same as an accepted machine ready for the approved task.

Turn findings into an award condition

Review references for comparable equipment and service scope. A successful transport delivery offers limited evidence of commissioning or breakdown support. Ask how the proposed team maintains records and continues service when a key person is absent.

Document the reviewed duty, equipment and delivery model. Resolve material gaps before award or use a bounded trial under the normal technical controls. Due diligence should produce a clear basis for purchasing the machine arrangement, not a general statement that the supplier is safe for every task. Reassess when the model, partner, operating duty or site changes, because those changes can alter the evidence and responsibilities relevant to acceptance.
