Ask which equipment class and service the reference purchased, broadly where it was used and which supplier team performed the work. Determine whether the supplier provided equipment only or also transport, installation, operation or maintenance.
Record differences from the proposed assignment. A reference should not be stretched into an endorsement of a different model or operating condition that the customer never experienced. Avoid asking it to provide a technical safety conclusion beyond its competence.
Ask whether the allocated machine matched the accepted requirement and whether relevant records were available when needed. Were site dependencies identified before mobilisation? Did the supplier report a proposed substitute early enough for proper review?
A useful question is what the reference would specify differently next time. The answer may identify an unclear access assumption, missing accessory or incomplete handover that the new buyer can address in the RFQ.
Request an example of a breakdown, unsuitable delivery or delayed mobilisation. Ask how the supplier communicated, who coordinated the response and how the next action was approved. Distinguish the provider's commercial and support behaviour from the technical decision about operating the equipment.
Consider a hypothetical reference reporting a fast replacement. Ask whether the substitute was reviewed and whether the relevant records accompanied it. Speed is useful evidence, but it does not establish suitability on its own.
For hire, ask whether off-hire instructions, collection and condition reconciliation were clear. For purchase or installation, ask about commissioning records and final handover. Explore how disputed charges or missing deliverables were resolved without requesting confidential commercial details unnecessarily.
Summarise direct observations, limitations and follow-up questions. Give the shortlisted supplier a fair opportunity to explain material differences. Use the findings to refine the first delivery and support agreement rather than simply award a positive score.
The reference should help procurement identify what to verify while the competent technical team assesses the machine and duty. A strong recommendation supports the capabilities actually observed; it does not replace equipment-specific evidence or create a blanket approval for every future machine the supplier may offer.
