Reconcile the delivered machine

Compare model and unit identification with the approved offer. Record authorised substitutions and ensure the relevant technical review has been completed. If the delivered machine differs without approval, keep the discrepancy visible and obtain a decision before it is treated as accepted.

Check agreed accessories and components with the appropriate receiving personnel. A machine may be present while an essential supplied item is missing. Identify the item precisely rather than signing a broad complete-delivery statement that obscures the gap.

Review the required records

Have competent personnel confirm receipt of the manufacturer's information and relevant inspection, maintenance or commissioning evidence required for the arrangement. Connect the documents to the actual equipment and identify current versions.

A file being present does not establish that it answers the required technical question. Record missing or unclear evidence and who must resolve it. Procurement should coordinate the handover without interpreting technical records beyond its role.

Record condition and acceptance status

Use the agreed inspection and acknowledgement process. Distinguish accepted equipment, conditional acceptance where appropriate and unresolved prerequisites. Any decision to operate should remain with the authorised competent personnel and applicable site controls.

Consider a hypothetical hire return where condition is disputed. An acknowledged initial record tied to the machine helps both parties assess the difference. Unlabelled photographs or general notes are less useful if they cannot be connected to the correct unit and time.

Transfer support and closeout responsibilities

Confirm the fault-reporting contact, maintenance responsibilities and escalation route. Identify who updates the machine record after an approved repair or change. The site should not depend on the delivery driver's personal contact as its only support method.

For hire, record the agreed off-hire instruction and collection responsibilities separately from the physical condition review. For a purchase, retain the acceptance and outstanding-action record with the commercial milestone evidence.

Close the handover only to the extent the agreed criteria support. Keep remaining defects, documents or charges with named owners and next actions. The resulting record should tell a future colleague which machine was received, what was accepted and what remains unresolved, while preserving the technical authority required to decide whether the equipment is suitable for its intended work.
