Broad descriptions without product identity

Ask for the manufacturer or brand, pack format and relevant specification. A line labelled cheese, oil or spice mix may conceal differences in formulation, intended use and product information. Have the responsible operational and food-safety reviewers assess the actual item.

Be cautious about a claim that any equivalent brand can be supplied. Equivalence needs to be established for the recipe, label information and other approved requirements, not decided solely by the trader's commercial team.

A discount without usable-life clarity

Ask about the product-specific remaining-life commitment and the evidence available at delivery. The buyer's qualified team should determine suitability for the planned use. A low price may reflect a commercial opportunity, but the kitchen needs enough information to decide whether it can use the stock appropriately.

For example, a large discounted quantity may exceed the operation's demand or storage arrangement. That makes it a poor purchase even if the product itself is acceptable under the relevant controls.

Missing traceability or delivery responsibility

Ask what lot information and documents accompany the shipment and who handles storage and transport. If another company delivers, establish who responds to a discrepancy. A trader should be able to explain the supply route for the offered product.

Resolve unexplained differences between the contracting entity, invoice issuer and payee through the organisation's usual checks. Do not allow a claimed urgent shipment deadline to replace a clear commercial relationship.

Pressure to accept unreviewed changes

A proposed alternative should reach the appropriate reviewers before delivery or use. The receiving team should not be asked to approve a new formulation because the vehicle has already arrived or production is waiting.

Document the clarifications and incorporate them into the accepted product schedule. If a material issue remains uncertain, hold the affected purchasing decision and obtain the relevant review. A transparent offer can contain limitations that the business chooses to accept; an unclear offer prevents the buyer from knowing what decision it is actually making about the ingredient supply.
