Turn the requirement into comparable evidence

Give shortlisted providers the same sample requirements: occupancy dates, number of residents, work location, furnishing needs, essential services and any accessibility constraints. Ask each to state what is available now, what remains provisional and when a binding confirmation can be issued.

Separate the provider's own inventory from accommodation sourced through partners. Neither model is automatically preferable. The issue is whether the supplier controls availability, can explain substitutions and remains accountable when a partner fails to deliver.

Compare the service journey, not just the apartment

Evaluate booking accuracy, arrival support, maintenance response, billing clarity and departure handling. Ask the provider to walk through a difficult but plausible booking: a delayed flight, an unusable appliance or an extension request during a busy period. Request the actual escalation process and the limits of its authority to resolve the problem.

Use a weighted comparison only after defining minimum requirements. A supplier that cannot meet an essential accessibility requirement should not win because it scores well on decorative features and price. Keep mandatory requirements outside the compensating score.

Ask a reference about the same type of stay and operating conditions. Useful questions include whether the confirmed accommodation was delivered, how exceptions were handled and whether final charges matched the agreement. A reference about a one-night hotel booking provides limited evidence for managing repeated furnished residential stays.

Record what the reference actually experienced. Avoid converting a polite recommendation into evidence of capabilities that were never tested. The shortlisted provider should have an opportunity to explain specific concerns or differences in scope.

Make a bounded initial award

Use a first booking or small allocation to verify performance before expanding volume. Define what success means and who records it. If the provider relies on several properties, test more than the sales team's preferred showcase unit before assuming the entire portfolio performs consistently.

For example, two suppliers may quote similar accommodation costs. One provides reliable late-arrival support and a clear unit-substitution process; the other leaves both unresolved. For employees arriving outside office hours, the operational difference may outweigh a small price difference. Document that reasoning so the award remains understandable when a later booking is reviewed.
