Define the transition the housing must support

Set out the expected temporary stay, likely extension needs, household composition and commute. Ask the relocation coordinator which requirements would make accommodation unusable. These may include step-free access, space for a child to sleep separately or the ability to prepare meals. Confirm requirements with the employee through an appropriate, private process.

Distinguish information needed for selection from documents required after booking. Sharing full personal records with every candidate rarely helps compare housing quality. Use a requirements summary during sourcing and transfer necessary documents only through the agreed onboarding process.

Examine flexibility in writing

Ask what happens if the arrival date moves, the permanent home becomes available early or the temporary stay must be extended. Compare cancellation, extension and substitution terms against the same hypothetical timeline. Do not describe an offer as flexible merely because the provider says it will “try to help.”

Identify the latest point at which accommodation is held, the basis on which an extension will be priced and whether an extension can require a move to another unit. Have the organisation assess the contractual implications of those terms before committing.

Assess support for an unfamiliar resident

Request clear arrival instructions, a named support route and practical information about the accommodation. Check whether the provider can explain appliance use, maintenance reporting and departure procedures in a language the resident understands. The employer should know how to escalate a problem without becoming the routine help desk for every minor issue.

For example, a family arriving late with luggage may not be able to collect keys from an office in a different location. A supplier with an attractive unit but an unsuitable access process should either resolve that process before booking or be removed from the shortlist.

Compare the accommodation, the transition terms and the support model together. Run a small initial booking where practical and collect structured feedback after arrival and departure. Separate a resident's aesthetic preferences from failures to meet the confirmed specification.

Keep the shortlist current. A provider suitable for one location, household size or season may not be suitable for the next assignment. Record the type of relocation the evidence supports and reconfirm actual availability for each booking.
