Build the accommodation schedule from the project schedule

Create a headcount forecast by arrival date, expected departure and work location. Separate confirmed requirements from possible increases. Ask the project lead to identify the consequences of unavailable accommodation: delayed mobilisation, a longer commute or the need to split the team between locations.

Specify the accommodation arrangement, occupancy expectations, essential amenities and transport interfaces. Obtain appropriate local advice on requirements applicable to the accommodation and occupants. Do not assume that accommodation suitable for individual business travellers is suitable for a different workforce arrangement.

Test the provider's control over capacity

Ask which capacity is committed, which is provisional and which depends on another supplier. Request a written process for handling additional rooms, reduced headcount and substitutions. A supplier's total advertised inventory does not show what it can reserve for your dates.

Compare a realistic change scenario across the shortlist. For example, ask each candidate how it would handle a delayed mobilisation followed by a phased arrival. The response should identify notice requirements, commercial consequences and the person authorised to confirm the revised allocation.

Examine the daily operating interfaces

Coordinate accommodation access with transport pickup times and shift changes. Ask how maintenance is scheduled without unnecessarily disrupting residents' rest. Establish the route for reporting issues and distinguish urgent problems from routine service requests.

Name the employer's accommodation coordinator and the provider's operational contact. Give residents a clear reporting channel, but avoid making a supervisor personally responsible for collecting sensitive information that should be handled through a more appropriate process.

Measure reliability before expanding the allocation

Track confirmed rooms delivered, arrival exceptions, unresolved maintenance issues and disputed charges. Review the reasons for failures instead of treating every complaint as equivalent. A repeated mismatch in occupancy or location may indicate an allocation-control problem rather than an isolated service lapse.

Use the first allocation to validate the operating model. Before increasing volume, resolve material issues and confirm that the provider can maintain the agreed standard across the additional accommodation. An attractive initial demonstration is useful evidence, but it does not establish that every building or partner property will perform the same way.
