Define the requested change precisely
Record what is changing, who requested it and why. Identify the affected guests, date and programme component without distributing unnecessary personal information. Keep the original confirmed itinerary available so the effect of the revision can be understood.
Distinguish a buyer-requested preference from a supplier inability to deliver an agreed service. The contractual implications may differ and should be assessed by the responsible commercial reviewer rather than assumed during an informal conversation.
Request an impact statement
Ask the operator to explain availability, affected bookings, revised timing, additional charges and any credits or unrecoverable commitments. The proposal should identify what remains provisional and the deadline for deciding.

Approve the revised programme as a whole

Verify the change before delivery
Check the new confirmations and any remaining actions. Remove or clearly supersede outdated operating instructions in the agreed communication channel. Keep the commercial change record separate from the concise guest-facing update when the additional detail is not needed by participants.
After the programme, reconcile the invoice to the approved revisions. Review recurring changes to identify whether the original brief or confirmation process needs improvement. The goal is not to prevent all adaptation; it is to adapt without losing control of the guest experience, the supplier chain or the purchasing decision.
