Unclear availability behind a fixed itinerary
Ask whether each essential component is confirmed, provisionally held or simply suggested. A quotation validity date is not necessarily a reservation hold. If the supplier cannot explain the distinction, the buyer may commit to a programme whose main attractions are unavailable.
Request the process for substitutions. Wording that allows any similar activity without approval may be too broad for an itinerary built around a particular visitor purpose or accessibility requirement.
A total price without operating assumptions
Check the assumed group size, arrival waves, transfer model, guide language, meal basis and included admissions. A low total may rely on conditions that do not match the actual visit. Require the revised price before award rather than treating foreseeable needs as later extras.
For example, an operator may price one airport transfer while guests arrive at different times. Unless the brief or quotation makes the assumption explicit, the programme can begin with a dispute over a basic requirement.
An invisible partner chain
Ask who delivers the programme components and who holds the bookings. An intermediary can be useful, but it should explain its role and responsibility. Be cautious when the contracting company cannot identify the actual operator of an essential activity or gives no process for approving that operator later.
Resolve unexplained differences between the contract, invoice and payee through normal purchasing controls. Do not accept urgency as the only explanation for a change in payment instructions.
A contact without decision authority
An around-the-clock number is valuable only if someone can access the programme and coordinate a response. Ask who approves alternatives, communicates with partners and records additional commitments. A contact who can only leave a message may not meet the programme's needs.
Write down the clarifications and carry them into the agreement. If material uncertainty remains, limit the commitment or revise the programme until it is manageable. A smaller, confirmed itinerary can provide a stronger visitor experience than an ambitious proposal whose critical details remain unverified until arrival.
