Build a destination schedule

List each campus, receiving contact, delivery address and available receiving window. Allocate quantities by site and identify items held centrally. Use clear site identifiers on the order and request the same identifiers on packing records. Confirm how the supplier will handle a campus that cannot receive on the planned day.

Ask academic teams to check the allocation before dispatch. A last-minute transfer between campuses can be possible, but it should have an owner and a traceable inventory update. Avoid treating central spare stock as if it were already available in the classroom that may need it.

Agree the level of sorting

Decide whether the supplier delivers by campus only or also separates resources by department, year group or classroom. Price any additional preparation explicitly. Review an example label and packing list so the receiving team can confirm that it contains the information needed to distribute materials efficiently.

For mixed orders, identify which components form a usable set. If teacher materials travel separately, link their delivery reference to the student resources they support. This reduces the risk of reporting a campus complete while a small but essential part remains in another shipment.

Manage shared digital access separately

If the purchase includes a platform, map account allocations to the intended campus structure. Confirm the administrator responsible for each site and the central support contact. Test a sample account from more than one campus before the first planned use, particularly where local devices or network arrangements differ.

Keep physical receiving and digital activation milestones distinct in the project record. One can be complete while the other is blocked. A combined status labelled delivered should not conceal the fact that teachers still cannot reach the purchased online companion materials.

Reconcile the full distribution

Collect acceptance records from each destination and compare them with the central order. Record shortages, transfers and damaged items at the site where they occur. Give the supplier one consolidated correction request with clear destination details. The final sign-off should demonstrate readiness across the agreed campuses rather than relying on a single central delivery receipt.
