Receiving new car parts before workshop release

In brief

Receiving a new car part should preserve the link between the approved order, the delivered item and the vehicle or work order. A fast handoff from courier to technician can lose packaging and records needed to resolve a mismatch. Establish a short receiving process that checks commercial identity and routes technical suitability to the competent workshop owner.

A fast handoff from courier to technician can lose packaging and records needed to resolve a mismatch. Establish a short receiving process that checks commercial identity and routes technical suitability to the competent workshop owner.

Prepare the expected-item record

Give receiving staff the order reference, manufacturer, part number, quantity and agreed condition. Include any approved supersession or alternative. The current instruction should be easy to identify so a technician is not comparing the delivery with an obsolete quotation.

Record the vehicle or work-order link through the buyer's normal system. Avoid distributing unnecessary owner information with the part. The purpose is to ensure that the item reaches the correct repair and can be traced if a question arises later.

Check identity and condition before altering the item

Compare labels, invoice details and available serial or lot information with the order. Note damaged packaging, missing items and visible discrepancies. Preserve relevant packaging and records until the workshop completes the agreed initial review, especially where opening or installation may affect return conditions.

For example, a box may carry the ordered reference while the enclosed item shows a different number. Record both and obtain clarification before the part is released through the technical process. Do not assume that either label alone proves the item is suitable.

Route technical questions clearly

Have the workshop assess fitment, associated components and any setup requirements using appropriate information. Procurement should not instruct staff to try a questionable part simply to see whether it works. The technical owner should decide the next step and record any accepted difference.

Give the supplier a clear discrepancy report with the order reference and relevant evidence. Agree whether a replacement, return or further clarification is required before changing the part's condition. This helps preserve a fair commercial resolution without making unsupported claims about the cause.

Close stock and accounts records together

Record accepted quantities, held items and outstanding actions. Link invoice approval to the receiving outcome and any agreed credit or replacement. Feed recurring mistakes into supplier review and future order instructions. A disciplined handover protects both repair planning and traceability because the buyer retains evidence of what was ordered, what arrived and who approved its release to the workshop.
