Match purchasing to realistic access

Ask the supplier whether a smaller commitment, different schedule or broader eligible choice would improve use. Review the actual terms for unused capacity before assuming it can be transferred or refunded. A lower unit price can be poor value when the employer buys far more than staff can access.

For example, replacing a large allocation of restricted vouchers with a smaller, more usable offer may improve the programme without adding more activities. Evaluate the result from booking evidence rather than a headline discount.

Question material and environmental claims

Ask what physical materials the programme requires and whether they serve a practical purpose. Avoid distributing products or printed packs simply because they are included in the supplier's standard package. Have the relevant reviewer assess any product suitability questions.

Where the supplier makes recycling, sourcing or environmental claims, request evidence and scope. A digital booking process does not by itself establish a lower overall footprint, especially if the claim ignores other parts of service delivery.

Report practical improvements accurately

Record changes such as fewer unused allocations, corrected booking barriers or reduced unnecessary materials. Explain the period and limits of the evidence. Do not convert those actions into carbon savings or health benefits without a suitable evaluation method.

Use the review to adapt the next purchasing cycle while maintaining professional and privacy boundaries. A useful programme offers employees services they can choose and access, with resources aligned to that purpose. It should not be judged by the volume of promotional items distributed or by broad sustainability statements that the supplier cannot connect to the actual benefit purchased.
